Users

Manage your site users - both internal and external

The Users section is where you manage all individuals who have access to your platform, including both:

  • Internal users (your team members and people within your company)

  • External users (buyers, producers, and other external stakeholders)

From here, you can create, edit, suspend, and approve users - all in one place.


Where to manage users

Navigate to:
ONE Admin > Users

This screen displays a full list of all existing users in the system

You can also use the Filters option to narrow down your search and quickly find specific users.


Add a New User

To create a new user:

  1. Click '+ Add User' (top right corner)

  2. Complete the user form

  3. Save to create the user


User details you can add

When creating a user, you’ll be asked to complete the following information:

Title
Select from the pre-populated list

First Name
Enter the user’s first name

Last Name
Enter the user’s last name

Company
Assign the user to an existing company

  • If the company doesn’t exist, click 'Add Company' to create one

Job Title
Enter the user’s job title

Telephone
Enter the user’s telephone number

Mobile
Enter the user’s mobile number

Email Address
Enter the email address the user will use to log in

External ID
Add an external identifier if applicable

Genre Interests
Select from available genres or add new ones as required

Programme Types
Select relevant programme types for the user

User Type
Choose whether the user is:

  • Internal

  • External

Territories

Assign the user territories

Regions

Assign the user regions

Groups
Assign the user to one or more groups

  • You can also click 'Add Groups' to create a new one

Account Manager (external)

Assign an account manager to the user

Roles (internal)
Assign a role to define permissions and access levels

All Programmes Access
Enable this to give the user access to all programmes

All Videos Access
Enable this to give the user access to all videos

OAuth Login (If applicable)

Enable to allow user login with OAuth credentials only

Marketing Preference

Select whether the user would like to be kept informed via marketing communications

Password Notification

Automatically selected to generate a reset password email for the user


Edit an Existing User

To update a user:

  1. Find the user in the list

  2. Click Actions > Edit

  3. Make your changes and save


Suspend or Unsuspend a User

To suspend a user:

  1. Click Actions > Suspend User

To reactivate a user:

  1. Find the suspended user

  2. Click Actions > Unsuspend User


Approve a User

User approvals are managed separately in the Admin area.

Navigate to:
ONE Admin > Users > Approvals

Here you’ll see three tabs:

  • Pending – users waiting for review

  • Approved – users who have been accepted

  • Rejected – users who have been declined

Reviewing a user request

When reviewing a pending user:

  1. Click Actions > Review Application

  2. Review their details

  3. Assign:

    • Company

    • Account Manager

  4. Choose to:

    • Approve

    • or Reject


Tips

  • Use groups and roles to simplify user management at scale

  • Keep company assignments accurate for reporting and access control

  • Only grant All Programmes Access or All Videos Access when absolutely necessary

  • Regularly review suspended users to keep your user base up to date


The Users section gives you full control over who can access your platform. From onboarding new users to managing permissions and approvals, it ensures you can securely manage both internal teams and external partners in one central place.
