What happens when you share a List

Users can share a list with other users from within their own company or to an external email address. Clicking the 'Share List' button opens a popup where the user is requested to select a registered user from their company (they don't get to see all users unless they are an administrator), specify an external email address and add a message. An email is then sent to to the recipients, listing out the programmes with a link back to the website to view the whole list. If the user is not logged in when they click any link in the email, they will be required to in order to see the full details. Otherwise they will simply get the view of a non logged in user.

The following are the scenarios which occur when you share lists (for more information on Lists in general, see the article linked here).

  • Sharing a list with no restricted items to a ONE user - submits and all items are in list share email

  • Sharing a list with no restricted items to an external email (not an existing ONE user) - submits and all items are in list share email

  • Sharing a list with restricted items to a ONE user WITHOUT permission* to grant access - submits and only unrestricted items are in the share email

  • Sharing a list with restricted items to a ONE user WITH permission* to grant access - confirmation screen shown and then ability to grant access to the user. If access is granted, then all items are in list share email. If not then only unrestricted items are in the share email

  • Sharing a list with restricted items to an external email (not an existing ONE user) - submits and only unrestricted items are in the share email

  • Sharing a list with videos that aren't public or restricted to a ONE user - submits and all items are in list share email

  • Sharing a list with videos that aren't public or restricted to an external email (not an existing ONE user) - submits and only unrestricted and public items are in the share email

*You will need permission to grant access to users. You will need the following permissions applied to your Role, or be an Admin user:

  • Share List Permissions

  • Manage Programmes

  • Manage Videos
