Understand what happens when you share lists with Anonymous Access enabled

When the Anonymous Access Users feature is active, you can share content with users without requiring them to log in.

This also impacts how list sharing behaves, especially when restricted or non-public content is involved.


What are List Share Actions?

List Share Actions define what happens when you share a list, depending on:

  • Whether the content is restricted or unrestricted

  • Whether the recipient is an existing ONE user or an external email

  • Whether you choose to grant access during the process


List sharing scenarios

Here’s a breakdown of what happens in each scenario:


No restricted items in the list

Sharing to a ONE user

  • List sends immediately

  • All items are included in the share email

Sharing to an external email (non-ONE user)

  • List sends immediately

  • All items are included in the share email


List contains restricted items

Sharing to a ONE user

  • A confirmation screen is shown

  • You can choose whether to grant access

  • If access is granted → All items included

  • If access is not granted → Only unrestricted items included

Sharing to an external email (non-ONE user)

  • A confirmation screen is shown

  • You can choose whether to grant access

  • If access is granted → All items included

  • If access is not granted → Only unrestricted items included


Videos that are not public or restricted

Sharing to a ONE user

  • List sends immediately

  • All items are included in the share email

Sharing to an external email (non-ONE user)

  • A confirmation screen is shown

  • You can choose whether to grant access

  • If access is granted → All items included

  • If access is not granted → Only unrestricted and public items included


Permissions required

To grant access during list sharing, you must have the correct permissions assigned to your role (or be an Admin user).

Required permissions include:

  • Share List Permissions

  • Programme Management

  • Video Management

Without these, you won’t be able to grant access to restricted content during the sharing process.

  • Avoid accidentally sharing incomplete lists

  • Ensure recipients see the correct content

  • Maintain control over restricted and sensitive material

  • Confidently share content with external users

  • Always review the confirmation screen when sharing restricted content

  • Double-check your list contents before sending

  • Ensure your role includes the correct permissions to avoid limitations
