The Groups feature is a powerful way to organise users and apply permissions in bulk. Instead of managing access individually, you can group users together and assign permissions once - saving time and ensuring consistency.

What are Groups used for?

Groups allow you to:

  • Organise users into logical collections

  • Assign permissions to multiple users at once

  • Simplify ongoing user management

  • Maintain consistent access across teams or companies

Where to manage Groups

Navigate to:
ONE Admin > Users > Meta > Groups

Create a new Group

To create a group:

  1. Click '+ Add Group' (top right corner)

  2. Enter the group details

  3. Save your changes

Once created, your group is ready to manage users and permissions.

Managing your Group

Click the 'Actions' button next to your group to access two key options:

  • Manage Users

  • Manage Permissions

Manage Users

To add or remove users from a group:

  1. Click Actions > Manage Users

  2. Search for users by:

    • Name

    • Company

  3. Add or remove users as needed

Bulk actions

  • Use the Bulk Actions toggle to manage multiple users at once

  • Quickly assign or remove large numbers of users from the group

Manage Permissions

To assign permissions to a group:

  1. Click Actions > Manage Permissions

  2. Select the permissions you want to apply

  3. Save your changes

All users within the group will automatically inherit these permissions

Why use Groups?

  • Save time by managing permissions in bulk

  • Keep access consistent across teams

  • Reduce manual errors when assigning permissions

  • Easily scale user management as your platform grows

Tips

  • Regularly review group membership to keep it up to date

  • Use clear naming conventions for easy management

Groups make it easy to organise users and manage permissions at scale. By grouping users and assigning permissions once, you can streamline administration while keeping access consistent and controlled.
