Asset Permissions

Control who can access your assets

The Asset Permissions feature allows you to manage exactly who can view specific assets on your site - whether thatโ€™s individual users or entire companies.

Depending on your platform setup, assets may be:

  • Unrestricted by default โ€“ visible to all users until restricted

  • Restricted by default โ€“ hidden from all users until access is granted


Where to manage Asset Permissions

Navigate to:
โ€‹ONE Admin > Catalogue > Assets > Permissions


Finding your asset

  1. Use the search box to find a programme

  2. Select the programme from the dropdown

  3. Filter assets by:

    • Season

    • Category

Or select All Seasons and All Categories to view everything assigned to that programme


Assigning permission to users

  1. Select one or more assets

  2. Click Manage Permissions (bottom of the page)

  3. In the pop-up window, go to the Individuals tab

  4. Search for a user by name

  5. Tick the checkbox to grant access

  6. Untick to remove access

  7. Click Save Permissions

You can add or remove multiple users in one go


Assigning permission to companies

  1. Select one or more assets

  2. Click Manage Permissions

  3. Go to the Companies tab

  4. Search for a company

  5. Tick to grant access (or untick to remove)

  6. Click Save Permissions

Granting access to a company gives all users within that company access to the asset


Assigning permission to groups

  1. Select one or more assets

  2. Click Manage Permissions

  3. Go to the Groups tab

  4. Search for a group

  5. Tick to grant access (or untick to remove)

  6. Click Save Permissions

Granting access to a group gives all users within that company access to the asset


Why use Asset Permissions?

  • Protect sensitive or premium content

  • Control access at both individual and company level

  • Manage permissions in bulk for efficiency

  • Adapt access as users or organisations change


Tips

  • Check your default setup (restricted vs unrestricted) before uploading assets

  • Use company permissions for scale and individual permissions for precision

  • Review permissions regularly to keep access up to date

  • Combine with Asset Access Reports to audit who can see what
